No-show cost
calculator.

Estimate the booked service revenue exposed to unfilled no-shows. Use your own figures, then compare a recovery scenario.

Start with your month.

Use one typical month and an average service price before tips.

Count scheduled customer visits, excluding staff time blocks.
Use a consistent average before tax and tips.
Missed visits that stayed unfilled ÷ scheduled visits × 100.
Your assumption about the share of missed visits you could regain. This is not a KadePay performance claim.

The figures shown are a fixed example. If the calculator is unavailable, use the formulas below.

BASED ON THE EXAMPLE INPUTS

Monthly booked revenue exposed

$1,360

16 expected unfilled visits each month.

Annualized exposure$16,320

YOUR RECOVERY SCENARIO

25% of those missed visits recovered

$340booked revenue regained per month

4 visits regained · $4,080 annualized

Estimates of gross service revenue, not profit or guaranteed savings. The annual figure assumes the same activity for 12 months. Scenario values are your assumptions.

WHAT THE NUMBERS MEAN

Simple math.
Visible assumptions.

An appointment that was moved to another time or filled by another customer should not also count as an unfilled no-show. If you track late cancellations, calculate them separately or label your combined rate clearly.

This estimate does not include product sales, tips, deposits retained, costs avoided, fees or the extra costs of delivering a recovered visit.

The calculation

  1. Expected unfilled visits = appointments × no-show rate ÷ 100.
  2. Monthly exposure = expected unfilled visits × average service price.
  3. Scenario revenue regained = monthly exposure × recovery percentage ÷ 100.
  4. Annualized figures = monthly figures × 12.

For example: 200 × 8% × $85 = $1,360 monthly exposure. Recovering 25% of those visits represents $340 in monthly booked service revenue.
