KADEPAY COMPARES / Payments & billing

Stripe vs KadePay: a practical business workflow

A trainer selling a recurring coaching plan. Follow the appointment or job, the customer information and the payment to compare how each product fits your team.

The business situation

A personal trainer wants clients to pay monthly while booking individual coaching sessions during the month. A Stripe Payment Link can start a recurring payment, and Billing can manage future collections. The trainer then has to connect that paid status with intake, appointment decisions and the number of sessions actually delivered. A recurring charge is not the same business event as redeeming a visit. Before choosing an approach, the trainer should simulate a missed payment, a rescheduled session and an unused visit. The result will show whether a direct Stripe setup plus existing tools is sufficient or whether an application layer removes manual reconciliation.

This is an illustrative evaluation scenario, not a measured customer case study or a claim of faster performance.

Evaluate the Stripe workflow

  1. Separate money from entitlement

Define the monthly charge and the specific sessions or services it purchases.

  2. Configure collection

Choose no-code checkout or a tailored integration and obtain billing authorization.

  3. Track delivery

Test where intake, bookings and redeemed visits are recorded.

  4. Handle exceptions

Follow a failed charge and a moved appointment through every connected tool.

Try the corresponding KadePay tasks

KadePay adds a service-business layer that can complement a Stripe account: signed forms, customer records, private notes, staff-reviewed appointment requests and packages with recorded redemptions. Recurring billing requires an eligible plan and authorization; purchasing a package does not schedule a visit. It is worth evaluating when the trainer needs these connected records without assembling them from separate tools. A highly customized subscription product may still favor direct Stripe development.

  1. Set the customer context

Create or select the customer profile. Decide which contact details, private notes and files the team needs. Share only the Gallery folders intended for the customer.

  2. Prepare the visit or job

For appointments, share a link for configured services and availability, then review the customer's request. Send any relevant intake or signature form for the customer to complete after sign-in. Review a Kady draft before saving it.

  3. Keep the payment clear

Use an enabled payment link or eligible in-person payment method. Explain the agreed amount and any deposit or payment authorization. A requested time is not itself a completed payment.

  4. Review the next step

Record the outcome, redeem a package visit if applicable, and schedule a later appointment separately. Use recurring billing only when the plan and authorization support that arrangement.

What your team should check

  • Do you need a tailored billing integration or ready customer-service workflows?
  • How will a paid subscription translate into actual session entitlements and redemptions?
  • What happens to existing saved methods and agreements during a proposed migration?

KadePay is listed as a Stripe partner, so a comparison must disclose that it can complement Stripe rather than imply independent payment rails.

Read the qualification

Ask one staff member to perform the whole scenario, including the customer view. Count manual steps and record where another tool is needed. Only claim a time saving after testing comparable setups with the same task and staff permissions.

Questions before you choose

Can Stripe and KadePay both support this business?

Choose a direct Stripe stack when configurable checkout, subscription logic or an existing integration is central. Evaluate KadePay when customer forms, appointment requests, notes and package redemption need a ready business workflow around payments. Stripe's partner directory describes KadePay as complementary to Stripe, so the relationship should be made explicit.

Does a KadePay package purchase automatically book each visit?

No. A package purchase and session redemption are separate from appointment scheduling. Clients request a configured time and the business reviews and confirms it.
