Wave vs KadePay: a practical business workflow
A freelance designer managing a monthly retainer. Follow the appointment or job, the customer information and the payment to compare how each product fits your team.
The business situation
A freelance designer bills a client each month for a defined amount of design support and also sends occasional invoices for additional projects. The designer needs the recurring invoice to be accurate, wants reminders for late payments, and must keep income and expenses organized for the accountant. A realistic evaluation begins with the initial estimate, an approved retainer, and the first invoice. Then test the next billing cycle, an extra project item, a customer card change, and an overdue invoice. Separately, review bank reconciliation and financial reports with the person who keeps the books. If the designer also schedules paid consultations, that booking workflow should be tested independently instead of assuming it follows from the accounting subscription.
This is an illustrative evaluation scenario, not a measured customer case study or a claim of faster performance.
Evaluate the Wave workflow
Define the retainer
Set the scope, billing period, and separate additional-project charges.
Test recurring collection
Use the qualifying plan to send an invoice and test customer authorization.
Review exceptions
Check late reminders, a changed payment method, and an extra project invoice.
Close the books
Reconcile income and expenses and inspect the reports needed by the accountant.
Try the corresponding KadePay tasks
KadePay can fit the designer who needs signed Forms, customer profiles, private Notes, shared Gallery folders, appointment requests, and bills or payment links. Recurring billing requires Team or Pro and customer authorization where applicable. Those service-administration tools can complement an accounting workflow, but they should not be described as full double-entry bookkeeping. Decide how transactions will reach the accounting records before replacing an existing invoicing system, and verify any required integration rather than assuming one.
Set the customer context
Create or select the customer profile. Decide which contact details, private notes and files the team needs. Share only the Gallery folders intended for the customer.
Prepare the visit or job
For appointments, share a link for configured services and availability, then review the customer's request. Send any relevant intake or signature form for the customer to complete after sign-in. Review a Kady draft before saving it.
Keep the payment clear
Use an enabled payment link or eligible in-person payment method. Explain the agreed amount and any deposit or payment authorization. A requested time is not itself a completed payment.
Review the next step
Record the outcome, redeem a package visit if applicable, and schedule a later appointment separately. Use recurring billing only when the plan and authorization support that arrangement.
What your team should check
- Is the priority service administration or complete bookkeeping and financial reports?
- Does the business need Pro recurring billing and reminder automation?
- How do processor discounts, transaction mix, and optional services affect the annual cost?
Pro processing discounts have conditions; compare effective costs using actual transaction volume and card mix.

Questions before you choose
Can Wave and KadePay both support this business?
Choose Wave when bookkeeping, invoices, and financial statements drive the decision. Compare KadePay for customer profiles, signed Forms, staff-confirmed appointment requests, visit-package redemption, private Notes, and shared Gallery folders alongside payments. KadePay billing records should not be represented as a substitute for Wave double-entry accounting or a complete accounting ledger.
Does a KadePay package purchase automatically book each visit?
No. A package purchase and session redemption are separate from appointment scheduling. Clients request a configured time and the business reviews and confirms it.
